Convocation Certificate — Meaning, When You Get It, and What to Do If You Miss It

A convocation certificate is the official degree certificate (also called the original degree or the parchment) handed to a graduate during the university's annual convocation ceremony. It is the legally definitive document confirming the conferment of the degree and is distinct from the provisional certificate issued earlier.

When you receive the convocation certificate

Universities typically hold convocation ceremonies once a year (annual or biennial), several months after the final examination results. The graduate must register for convocation, pay the prescribed fee, attend the ceremony, and receive the certificate in person from the Vice-Chancellor or Chancellor.

Difference from provisional certificate

A provisional certificate is issued within weeks of result declaration and is valid for immediate use — joining a job, applying for higher studies. The convocation (original) certificate replaces it as the permanent record. Most employers ask for the original after convocation, though the provisional remains acceptable in the interim.

What if you miss convocation?

Universities allow graduates to collect the certificate in absentia. Apply to the Registrar with a written request, pay the convocation-in-absentia fee (typically ₹500–₹3,000), and the certificate is mailed to you or kept ready for personal collection. Most universities maintain unclaimed certificates for years.

Online application and DigiLocker

Several universities now offer online convocation registration, online fee payment, and DigiLocker-linked digital convocation certificates. UGC and AICTE recognise the DigiLocker copy as legally valid under the IT Act. Check your university's online portal for the digital option.

Duplicate convocation certificate

If the original is lost or damaged, apply for a duplicate with an affidavit declaring loss, two newspaper notices (English and regional), the prescribed fee, and a police report (some universities require this). Processing typically takes 4–12 weeks.

Validity and usage

The convocation certificate has lifetime validity. It is the primary degree proof for employment verification, foreign visa applications, professional licensure (medical, engineering, law), PhD admissions and academic credentialing.
